POSITION SUMMARY:  
This person must serve as the ambassador of Ward Village and the IBM building through greeting, welcoming, directing all arriving guests. This role will provide support to SVP, Sales & Marketing and Director, Sales Operations by performing all special assignments or tasks as needed.
 
JOB RESPONSIBILITIES:  
  • Provide guidance and assistance for deliveries, inquiring guests and/or groups.
  • Conduct product quality check of models and sales galleries, report all discrepancies or items for repair to respective persons, and keep everything running smoothly.
  • Manage the day-to-day distribution of leads and walk-in guests to a New Home Ambassador (NHA) as per established Policy & Procedure
  • Provide, coordinate and assist with the welcome reception and/or beverage service for guests.
  • Provide a Ward Village Community Tour of the Masterplan for guests requesting a community overview.
  • Coordinate special requests, reservations, and activities for NHA’s prospects.
  • Assist with preparation of sales collateral and take-away gifts for guests.
  • Prepare and coordinate the delivery of the Buyer Gifting Program.
  • Coordinate and assist with the Homeowner Orientation tour appointments.
  • Manage the reservations, use and maintenance schedule of equipment and G.E.M. vehicles.
  • Manage the hard hat tour equipment and use.
  • Create and design a variety of marketing and promotional items as it pertains to enhancements to the customer and brokers’ experience, as needed.
  • Continuously identify potential areas for customer enhancements and improvements, aligned with the WV Sales & Marketing goals and objectives.
  • Communicate with Ward Village Operations Staff regarding any special guests on property.
  • Enhance security by being vigilant of activity on and around property and report any suspicious activity to WV security.
  • Answer phones with WV tone of voice protocol and distribute phone in leads accordingly.
  • Open WV Sales Information Center & Sales Galleries as indicated by the opening procedures checklist.
  • Open and close off-site model homes daily.
  • Conduct a walk-through of sales galleries and models to ensure all are in top condition.
  • Arrange for any necessary repairs and cleaning of the sales galleries and models.
  • Acknowledge, greet, and welcome all guests and determine how we can be of service; follow sequence of service and checklist.
  • Contact sales team members to announce a guest’s arrival for scheduled tours/appointments/ walk-ins.
  • Ensure guests complete Registration Cards with appropriate contact information and introduce guest to a New Home Ambassador.
  • Ensure all registration cards are put into Salesforce and provide a copy of the information to the assigned New Home Ambassador.
  • Check daily sales.info@wardvillage for new leads and follow web lead procedure.
  • Maintain an accurate daily lead and walk-in report and ensure appropriate distribution is received by end of business day.
  • Monitor and maintain sufficient stock of concierge office supplies, including printing materials.
  • Monitor and maintain sufficient stock for welcome reception and beverage service.
  • Maintain the Ward Village concierge binder and all other pertinent listings.
  • Coordinate use of WV equipment such as: GEM cars.
  • Ensure there is always a stock of broker packages available in the concierge drawer.
  • Responsible for organization and cleanliness of closets, binders, storage and kitchen.
  • Make photocopies, scanning and putting binders together for team members as required.
  • Maintain a neat and organized work area.
 
KNOWLEDGE, EXPERIENCE AND SKILLS
  • A minimum of 3+ years of customer service experience or related field.
  • The candidate must possess exceptional communication skills, be detail oriented, and have the ability to manage projects and people.
  • Real Estate knowledge a plus.
  • This position requires multi-tasking, extensive organizational skills and the ability to coordinate all aspects related to the strategic sales plan.
  • Must have knowledge of Microsoft Office software products, including Excel and Word.
  • Must be able to work in a team oriented, fast-paced environment.
  • The position requires excessive standing, frequent walking and repetitive motions.
  • Requires manual dexterity to use and operate all necessary equipment.
  • Ability to safely lift up to 30 lbs without injury.
  • Must be able to work flexible and varied shifts including weekends and holidays Project an approachable and professional image in personal appearance, manner, and demeanor.
  • Bi-lingual Skills preferred (Japanese or Mandarin).
 
EDUCATION, CERTIFICATION & LICENCES:
  • Proof of authorization/eligibility to work in the U.S.
  • High School diploma or equivalent; four-year degree preferred.
